We are looking for amazing administrator to join our Energy and Hardship Support Team. This is an exciting opportunity to join our Wise and Warm in Norfolk team of staff and volunteers supporting local people through difficult times and making a big difference.
The role will involve contacting clients via phone, email and letter; and using our Case Management System (CMS) to update client records and record outcomes. Supporting the specialist advisers by scanning client documents such as energy bills, scheduling appointments, sending out advice information packs and emergency support vouchers. Good customer skills are essential as well as feeling confident using a range of IT and data management software.
Responsibilities
- Create, update maintain the organisations online systems and records.
- Photocopier, scanner and other IT equipment as appropriate.
- Inbound and outgoing calls, using softphone.
- Responding to email enquiries.
- Produce spreadsheets and run reports from spreadsheets and databases.
- Word process letters, documents and reports as required.
- Process and issue of emergency Pre-Payment Vouchers.
- Maintain records and update CRM system.
- Assist the Energy Project Lead with the marketing of the project including assisting with marketing events, social media and poster campaigns.
- Liaise with project lead to organise training for the project.
- Complete Adviser Learning Program Training and other role specific and mandatory training.
- Participate in development and wellbeing activities.
Person Specification
Essential Criteria
- Ability to systematically manage a varied workload, prioritise and meet deadlines under pressure.
- Good customer service skills particularly via telephone.
- Ability to write clearly and accurately, communicate effectively face to face, on the phone and via email.
- Excellent IT Skills, good knowledge of Microsoft office and Sharepoint.
- Excellent Customer Service Skills.
- Ability to systematically manage a varied workload, prioritise and meet deadlines under pressure.
- Numeracy skills and the ability to work within established financial systems.
- Flexible approach and willingness to work as part of a team.
- Ability to take a brief, ensure the task is understood and then work independently.
